East-West Dialogues is a partnership building and EVS quality improvement training which is supported by a grant from the Dutch Erasmus+ National Agency. The training aims at setting up high quality EVS projects in which partners from Western European, Eastern European and partner countries cooperate.
This intensive networking programme will involve participants from 12 different countries. Participants will not only get to know each other, but also receive hands-on advice on improving EVS project management, volunteer recruitment and preparation, expectation management and crisis resolution. The programme is intended for both hosting and sending/coordinating organizations. During the programme, participants will together develop a Quality Assurance Toolbox, consisting of practical tools and templates for drafting partnership agreements, activity agreements, recruitment of volunteers, mediation, mentoring and evaluating EVS projects.
With 18 participating organizations from 12 different countries, we are confident that this will be a very rewarding event for all of you. We look forward to start preparing the content of the event, in which you will be closely involved. In this way, we will make the event as useful as possible to you.
Dates and venue of the conference
The conference will take part from Friday December 9 until Sunday December 11. Arrival day is Thursday December 8. Departure is possible on Sunday, after 18.00h or on Monday December 12.
The conference will take place at the conference venue of Stayokay Soest in the center of The Netherlands, close to the cities of Utrecht and Amersfoort. All workshops will take place here. In addition, we will organize field visits to EVS hosting organizations in the vicinity and of course there will be some free time to explore the lovely city of Amersfoort, which is very nearby.
After registration, you will receive your travel documents not later than six weeks before the event by e-mail. If you have any special (travel) requests, please include them in your registration form as we will be happy to accommodate them.
The event is both intended to meet potential new partners for EVS and other Erasmus+ projects and to improve the quality of all stages of EVS project management. We will collect and compile best practices and prepare high quality formats for (among other things) partnership and activity agreements and volunteers’ work plans which you can use in future applications and EVS projects. All results from the event will be integrated into a toolkit, which you can take home and share with partner organizations in your home country.
We want to make the event as useful as possible to you. Therefore, we will invite you to a series of preparatory webinars (online based consultations) in which you will be able to contribute to the programme. Confirm your participation before July 1!
We ask you to confirm your participation in the event by completing the participant registration form at our website http://ucdean.nl/?page_id=5402 and by paying the participant’s contribution and a deposit. Please note that you can only register the number of people whom you have applied for!
We remind you that apart from the participants’ contribution, all travel costs, accommodation, meals during the conference, working materials and if applicable visa costs will be covered by the Erasmus+ grant.
The participants’ contribution differs depending on your country of origin.
Participants from EU15 countries pay € 75 per participant + € 75 deposit per participant.
Participants from EU28 countries pay € 50 per participant + € 50 deposit per participant.
Participants from non-EU countries pay € 35 per participant + € 35 deposit per participant.
The deposit serves as a guarantee for your participation. As we will book travel tickets for you which cannot be refunded, it is important to realize that we count on your participation. In case you have to cancel your participation, the participation fee and deposit will not be refunded as we will not receive any grant from the Erasmus+ programme for cancelled participants.
The deposit will be refunded in cash during the conference or transferred to the bank account of the participating organization within 5 working days after the event.

If you don’t register before June 1, we conclude that you will not participate in the event and we reserve the right to invite other participants from your country to take your place. If you, for any reason, can’t register, please notify us by e-mail.
We will create a Facebook page, and if possible a LinkedIn page, for all participants to facilitate communication before the event. That’s why we ask for your Facebook and LinkedIn profile in the application form.
